How we price

No price list. A price you can hold us to.

  • A range on a free call
  • A fixed price in 1–2 weeks
  • The price holds
Our promises

Three promises, one at each step.

The same three hold on every project, and they’re written into your agreement word for word.

  1. 01 · Assess

    Know before you commit

A short, fixed-price assessment gives you a roadmap and a build price. The fee is credited if you build within 30 days.

What it costs us: we give away the roadmap.

  2. Fixed price02 · Build

    The price holds

The price we agree is the price you pay. AI and hosting at cost. Anything new is approved first.

What it costs us: our estimating mistakes are ours.

  3. 03 · Run (optional)

    Yours to keep

The code, setup and instructions are yours, to take anywhere. Ongoing support is optional.

What it costs us: no lock-in, and sometimes the sale.

When something changes

04If we underestimated work inside the scope, that’s our cost, not a change.

The fee credit, in practice

B − AYou pay for the build. The 30 days start when we deliver the assessment and its fixed price. Agree the proposal within them and the credit is yours, even if onboarding runs later.
What drives the cost

Eight things decide most of the cost. The AI model is rarely one of them.

  • What the AI is allowed to do

    Costs less
    It reads and suggests
    Costs more
It acts alone: refunds, payments, records
  • Systems it touches

    Costs less
    One modern system
    Costs more
Several systems, or old ones with no easy way in
  • Your data and documents

    Costs less
    Clean, digital, in one place
    Costs more
    Scans, handwriting, scattered sources
  • Cost of a wrong answer

    Costs less
    Cheap to fix later
    Costs more
It reaches customers or the books
  • Regulation and security

    Costs less
    Internal, low-risk data
    Costs more
Personal, financial or health data; audits
  • Volume and speed

    Costs less
    Batches, business hours
    Costs more
    Real-time, 24/7, high volume
  • Where the AI runs

    Costs less
    Hosted AI services
    Costs more
    Private or in-country hosting
  • Timeline

    Costs less
    Normal pace, quick decisions
    Costs more
A fixed launch date, or slow sign-offs

Scope is the biggest lever.A project that does one clearly defined job costs far less than one that tries to do five.

Complexity bands

Find the band that sounds like yours.

A project can start in one band and grow. We usually suggest starting with the smallest band that proves the value.

  1. Focused

    3–6weeks

e.g. sorting customer emails and drafting replies for approval

    • One task, one system
    • AI that drafts, sorts or reads
    • A person decides
    Book a free call
  2. Connected

    Your likely band

    4–8weeks

e.g. supplier invoices read and posted to the accounts, with a review screen

    • AI inside a workflow
    • Across a few systems
    • People checking the unclear cases
    Book a free call
  3. Operational

    6–12weeks

e.g. refunds up to a set amount, or a phone assistant that books appointments

    • AI that takes actions in your systems
    • Within limits you set
    Book a free call
  4. Enterprise

    12+weeks, phased

e.g. a supervised operations desk across the ERP and CRM

    • Several assistants
    • Several teams
    • Regulated data
    • Delivered in stages

One per cost driver. Your likely band updates as you go.

What should the AI do?

How many systems does it touch?

What are your data and documents like?

What does a wrong answer cost?

How sensitive is the data?

How much, how fast?

Where must the AI run?

How fixed is the deadline?

A starting point, not a quote. The assessment gives you the fixed price.

Where the effort goes

The AI is the smaller part of the work.

Every build proposal shows these six phases, with the weeks and what each one delivers. They come after the assessment, and they’re what you’re paying for.

Proposal · [Client]

Where the effort goes

  1. Design

Turn the assessment into a detailed design. Agree what “working” means.

  2. Data and integration

    Usually the biggest

Connect your systems and get the data into shape.

  3. AI build

The assistant’s tasks, prompts and decision rules.

  4. Testing

Measure accuracy on your real examples before launch.

  5. Controls

Permissions, approvals, records of every action.

  6. Go-live and handover

Monitoring, instructions and a session with your team.

We don’t publish an average split, because it varies too much from project to project. Your proposal shows the real one for yours.

Beyond the build

A build price isn’t the whole cost.

AI keeps costing something after launch. We estimate these costs in every assessment, so you see the full picture before you commit.

  • AI usage

Fees per request, call or document

    StartsAt launch, grows with volume

    You, at cost
  • Hosting

    Servers, storage and databases

    StartsDuring the build

    You, own account
  • Other services

Phone lines, document reading, data providers

    StartsAt launch

    You, at cost
  • Looking after it

    Updates, monitoring, model changes

    StartsAfter handover

    Optional
  • Your team’s time

People to define right answers and check the unclear ones

    StartsFrom day one

    Internal

Six ways to spend less.

  1. Start with one process

The one with the clearest pain and payback.

    01
  2. Let it suggest before it acts

Start with approvals, then remove them once the numbers are proven.

    02
  3. Let people check the unclear cases

Most of the work automated, with a person on the rest, costs far less than chasing perfect.

    03
  4. Use smaller AI for simple steps

Save the larger model for the decisions that need it.

    04
  5. Connect what you already have

    Rather than replacing it.

    05
  6. Name one decision-maker

Slow sign-offs cost more than most technical choices.

    06
What we will tell you

Plenty of requests for “an AI agent” are better solved with something simpler: a clearer process, a good search over your documents, or a smaller AI.

If that’s you, the cheapest price we can give you is the right one, and we’ll say so on the first call.

Questions

Because a list price for a custom AI system is either padded to cover the worst case or too low to be honest. We’d rather give you a real range on a call and a fixed price after an assessment.
